Automate and scale your work with the Customize menu

The Customize menu is ever-present in your Asana projects. But what does it do? Click Customize in the top-right corner of your Asana project and discover the quickest and easiest ways to improve your workflows, all within one menu. 




The Customize menu acts as a central hub to manage and scale your work. Save time with rules, forms, task templates, and bundles. Add layers of detail to your project and tasks with fields and sections. You can even integrate Asana with your favorite tools.





Fields

Fields allow you to add another layer of data to the tasks in your project. To add a field to your project via the customize menu, click Customize, and then + Add field. Choose from a list of Asana-created fields or create your own custom field.

You can allow a specific field to be reused across multiple projects by adding it to your organization’s field library. Changes made to the field (renaming, adding more values, deleting the field) will replicate across the projects using it.

With fields, you can time your work by adding time tracking fields or display a task’s underlying information by adding metadata fields to show creation, completion, and modification data. You can even use Asana Intelligence to suggest fields based on the content of your project.

Fields are particularly useful when reporting since you can filter tasks or projects containing a specific field value. Rules can also take advantage of this extra layer of data, and Asana users often rely on custom field value changes to trigger rules as part of a workflow.

Rules

Rules can automate routine tasks and form a vital part of your workflow. Add a rule to your project via the customize menu. Click + Add rule and create your automation using the rule builder.

Asana will suggest some preset rules, but you can create custom rules to suit your needs. See our dedicated rules article for detailed information on rule triggers and actions.

Make your rules more sophisticated by combining them with custom fields, sections, and integrations.

Apps

Use your favorite tools in your Asana project by connecting apps to your project via the customize menu. Click + Add app and browse the directory, or use the directory’s search bar to find a specific integration.

Forms

Forms are a great way to gather and bring information into an Asana task. Use a form to standardize your work intake process, getting all the information and details you need the first time around. Click + Add form within the Customize menu and start building your ideal form, using features like forms branching and default assignee.

You can host your form’s URL wherever you like. For example, add it to your email signature or your website’s homepage. You can also maintain access control by choosing whether your form is available only to those in your organization or also to external people.

Custom field mapping makes it possible to report on data taken in via forms, even from external people. Since form submitters fill out the information in a standard way, the information provided is mapped to custom fields down to the specific custom field value.

Task templates

Task templates offer a standardized way to create tasks. They can save time when creating repetitive tasks and ensure that important task details are present each time. Task templates can form a significant part of your workflow while minimizing the risk of information falling through the cracks.

Click + Add task template to get started. A project’s task templates can be viewed in this section of the customize menu, where you can edit, rearrange, or delete them. Projects support multiple task templates.

Sections

Sections are fundamental to projects. Use sections to group tasks together in various ways so you can report on or add rules to a specific collection of tasks. 

You can manage sections via the customize menu. Changing the order of the sections in the menu will change the order of the sections in your project views. If you’ve got a lot of sections and tasks in your project, the customize menu is the quickest way to manage them.

Bundles

Bundles are any combination of rules, fields, sections, and task templates that can be applied to multiple projects simultaneously. When you edit a bundle, changes are reflected in every project using that specific bundle. Manage bundles via the customize menu. To start, click + Add bundle and design your bundle by creating new sections, fields, rules, and task templates.
