The Sync to Calendar option helps you meet deadlines by syncing your tasks to Google Calendar, Apple Calendar, Outlook, or any calendar that allows you to subscribe by URL.You can sync any project tag, or My tasks list to an external calendar. Once synced, you will see tasks with due dates from those projects as all day events. You can click each event to visit the task in Asana.A few things to note:
- Only tasks with due dates will sync
- Calendar sync is one-way: updates to your calendar will not be reflected in Asana
- Completed tasks will not sync
- Subtasks also sync to external calendars
- Team calendar cannot be synced
- It's not possible to sync calendars by URL to Outlook for Mac 2011
- The initial sync to your calendar should be instant, but subsequent syncs may take up to a day
- The maximum number of synced tasks is 5000To sync a project
Navigate to the project you want to sync, from here:
- Click the drop-down arrow to access the project actions
- Hover over the Export/Print option
- Select Sync to calendar...These steps can also be used to sync your My tasks.
Sync to Google Calendar
From the Sync to Calendar popup window in Asana, highlight and copy the entire link found in the Googlegle Calendar tab. The asana.biz domain is used to avoid potential issues with Asana projects not syncing after more than 24 hours.
Projects will need to be synced individually.In the popup window:
- Paste the link you previously copied from Asana into the URL field
- Click Add calendar
Once synced, you will see tasks with due dates from that project as all day events on your Calendar.To remove a synced project from Google Calendar navigate to the calendar options, click Settings, scroll down, click Unsubscribe and click Remove calendar.
Sync to Apple Calendar
From the Sync to Calendar popup window in Asana, click the iCAL, Outlook, or Other Calendar tab and highlight and copy (but do not click) the entire link.
Edit the Calendar's options. We recommend setting auto-refresh to Every 5 minutes. Once you're done, select Ok
Once synced, you will see tasks with due dates from that project as all day events on your calendar. You can click each event to find a link to the task in Asana.
To remove a synced project from Apple Calendar:
- Right click (or
⌘
+ click on a Mac) the Asana project's name - Select Unsubscribe
Sync to Outlook
The following screenshots are specific to Outlook's Calendar in a web browser, but the steps below can be reapplied to other versions of Outlook that this integration is compatible with.
From the Sync to Calendar popup window in Asana, click the iCAL, Outlook, or Other Calendar tab and highlight and copy (but do not click) the entire link.
From here:
- Select Subscribe from web
- Paste the URL you previously copied from Asana into the URL field
- Enter a name for your calendar
- Click Import
Once synced, you will see tasks with due dates from that project as all day events on your Calendar. You can click each event to find a link to the task in Asana.
